Fixed vs variable event costs
Venue deposits and equipment are often fixed. Food, drinks and favors usually scale with guests. Separating the two makes guest-list changes easier to evaluate.
Example
For 80 guests, 2,000 fixed costs and 45 per guest, base cost is 5,600. With a 10% contingency, total cost is 6,160, or 77 per person.
Common mistakes
Do not divide fixed costs by the planned guest count before the list is stable. A smaller turnout can raise the true per-person cost.
