How to use this estimate
Separate guest-driven costs from fixed costs. This makes it easier to see how the guest list changes the budget and how much is still unfunded after deposits.
Example
For 100 guests at 150 each plus 8,000 in fixed costs, base cost is 23,000. A 10% contingency raises the planning budget to 25,300 before subtracting any amount already paid.
Common mistakes
Keep deposits, taxes, service charges, tips and vendor minimums visible. A low per-guest estimate can be misleading if fixed costs are large.
Limitations
This is a planning estimate only. It does not replace vendor quotes, contracts, cancellation terms, local taxes or currency changes.
